# Lead Lists and Dynamic Lists: What They Are and How to Use Them

A lead list is a working set of target companies and contacts, with selection criteria, outreach status and a reason to contact each one. It captures a defined audience at launch, while a dynamic list automatically adds or excludes companies as specified conditions change, such as region, industry, registration date, hiring activity, leadership changes or CRM status.

## How a fixed lead list differs from a list that updates itself

Use a fixed list when the hypothesis is narrow—for example, testing an offer with packaging manufacturers in two regions. Build it, remove duplicate companies using a stable company identifier, find the relevant role, and freeze the selection before the first send. That gives you a clean comparison of subject lines or offers.

| Task | Fixed lead list | Dynamic list |
|---|---|---|
| Testing a new offer | Keeps one defined sample | Can blend contacts from different waves |
| Reaching newly created companies | Becomes outdated quickly | Adds new records when they meet the rule |
| Follow-up outreach | Needs manual checking | Excludes people who have already replied |

A dynamic rule should be specific: companies in Tatarstan, recently registered, in furniture manufacturing; exclude current customers, unsubscribed contacts and companies already contacted. It is not an endless stream of addresses. It is a queue with stop conditions: a reply, refusal, meeting, disqualification or the limit of the selected wave.

If a list has no date added, source and outreach status, it cannot be managed. You will not be able to tell who received a repeat message or why.

## How list composition changes a campaign

A first email is read in the context of the company, not as a judgement of your template. For a new systems integrator, it may be reasonable to ask whether hiring for a 1C specialist reflects growth in implementation work. For an established manufacturer with a procurement cycle, that opening is irrelevant; it needs a different reason to talk and often a different role. Before launch, define not only the industry but also the event that makes the approach understandable.

1. Describe the company first: product, region, size or industry characteristic.
2. Choose the role that can respond to the task: founder, commercial director or business-unit lead.
3. Add a signal for a personal opening line and an exclusion rule.
4. Before every new wave, reconcile the list with your CRM so you do not write to a customer, an open conversation or a closed refusal.

In a manufacturing campaign, one broad list of plant directors produces arbitrary reasons to write. Separating companies with new vacancies from those without changes the conversation: the first group can be asked about process capacity, while the second can be asked about plans for the quarter. See [LPR: B2B decision-maker definition](/en/glossary/lpr/) for choosing contacts and [lead qualification](/en/glossary/lead-qualification/) for separating interest from a buying conversation.

## Where a lead list fails before the first send

### Mistake: one company enters three segments

A company can meet the filters for Moscow, IT and new vacancies at the same time. Without a priority rule, it receives three different emails from one team. The decision-maker then replies that you wrote yesterday. The problem is not copy; it is the absence of company-level deduplication and one outreach log. Combine sources first, remove duplicate companies, then choose one route.

### Mistake: treating a signal as intent to buy

A vacancy for a commercial director shows that something is changing, but it does not prove demand for your service. Instead of claiming you can solve a sales-plan problem, ask whether the company needs an external flow of new B2B conversations while it builds the team. A “not now” reply is a useful list status, not a reason to send another email the next day.

### When a lead list is not the answer

A lead list will not help if your product is aimed at everyone, with no distinction between roles, industries or reasons to talk. In that case, a dynamic list only speeds up the accumulation of irrelevant contacts. If your ICP is not yet tested, build several narrow versions first, as described in [ICP: how to build an ideal customer profile](/en/glossary/icp/), and run each as a separate wave.

- Every company has a tax ID or another stable identifier.
- Each contact has a source, role and verification date.
- Every segment has one defined reason to write.
- Respondents, unsubscribes and current customers are excluded before the next export.

## Terms to understand alongside a lead list

A list answers “who to contact,” but it does not replace the other parts of the operation. An [LPR](/en/glossary/lpr/) identifies the decision-maker inside the company. An [outreach sequence](/en/glossary/sequence/) defines the order of emails and other channels. [Lead qualification](/en/glossary/lead-qualification/) separates a request for details from a real buying discussion. Together, they turn a contact spreadsheet into a manageable campaign.

## Frequently asked questions

**Is a lead list just a database of email addresses?**

No. An address without a company, role, source and reason for contact is a technical record, not a lead list. A working list lets you explain why that person received that particular message.

**How often should a dynamic list be updated?**

Update it before adding a new wave and after processing replies. The schedule depends on the signal: new registrations need more frequent checks, while stable industry lists change more slowly.

**Should we keep companies that are not a fit?**

Yes, with a status and reason for exclusion. Otherwise they can reappear through another source in the next export and receive outreach again.

**Can a dynamic list be built from industry codes alone?**

It can, but an industry code rarely describes the company’s actual situation precisely enough. Combine it with region, company size, role and an observable reason to start a conversation.

**What if several decision-makers look relevant at one company?**

Assign one primary route and do not send everyone the same email at the same time. Give different roles distinct reasons to talk and record the contact history.
