# Open Rate and Reply Rate Benchmarks for B2B Outreach

There is no universal “good” Open Rate or Reply Rate for B2B cold outreach. Use open rates only as a diagnostic signal; judge a campaign by delivery, replies from contacted companies and explicit requests for details, a proposal or a meeting.

**Figures:** 5.93% — of contacted companies replied across our campaigns; 97.7% — of addresses accepted the email across our campaigns; 6,500 — explicit yeses: requests for details, a proposal or a meeting

## Why does a high Open Rate not prove interest?

Open Rate is the share of emails for which a system recorded an open. It can help compare subject lines within the same audience and period, but it does not measure demand. Email clients may load tracking images automatically, while some recipients read without loading them, so a high open rate with an empty inbox is not a successful campaign.

| Signal | What it confirms | What it does not confirm |
|---|---|---|
| Delivery | The address exists and accepted the email | That the email was read |
| Open | There is a technical sign of a view | That the offer was relevant |
| Reply | The recipient entered a dialogue | That they are ready to buy |
| Explicit yes | There is a reason to continue the sales conversation | That a deal will close |

For example, a report may show many opens while most replies say “remove this address” or “wrong person.” The subject line may have attracted attention, but the company list or business reason did not fit. Check who received the message and why before changing the subject line alone. See the [outreach glossary](/en/glossary/) for metric definitions.

> Open Rate is a diagnostic instrument, not a payment KPI. Compare it only across equivalent segments and time periods.

## How should you read Reply Rate without misleading yourself?

Calculate Reply Rate from companies that received a touch, rather than mixing addresses, repeat sends and every message in a sequence. This shows what share of the target market actually reacted. Across our campaigns, 48,100 companies replied after a touch: 5.93% of contacted companies. This describes the combined body of work, not a promise for an individual niche.

### Classify replies by meaning

The same Reply Rate can conceal opposite outcomes. “Send a description for our branches” is working interest; “not my area” is useful evidence that the role is wrong. A “no” is also useful when its reason is recorded: an existing supplier, no need, unsuitable scale or poor timing.

- Report positive, neutral and negative replies separately.
- Match each reply to the company and recipient role, not only to a platform counter.
- Mark explicit yeses: requests for a proposal, details, a calculation or a meeting.
- Pass the reply context and original business reason to sales.

If a provider shows only the total number of replies, ask for a breakdown. It shows whether recipients understand the offer and whether you are reaching the right role. The handover from interest to a meeting is covered in [B2B reply scripts](/en/guides/obrabotka-otvetov-skripty/).

## What review sequence separates an email problem from a list problem?

Do not explain every result with one metric. Review from technical fact to commercial fact: whether the email was accepted, whether it reached the right company, whether a reply appeared and whether a substantive conversation began. This lets you assess the result without exposing campaign operating procedures.

1. Check delivery and rejection reasons. A high share of unaccepted emails makes later conclusions unreliable.
2. Review a sample of records: company, role, website and the reason for contact. Test relevance, not row count.
3. Read real replies alongside the first emails. Look for repeated confusion about the offer or recipient role.
4. Compare explicit yeses with sales response speed. A dialogue lost after the reply is not an outreach defect.
5. Choose the next hypothesis: refine the segment, change the business reason or stop the direction.

A supplier of a complex B2B service may receive requests for a proposal but gain no additional meetings. If sales sends a generic file without asking about the current task, outreach was not the cause: the contact was created, but the next step did not qualify it. Agree the connection between replies and CRM in advance through [CRM integration](/en/services/crm-integration/).

- The report shows contacted companies, not only sends.
- Replies can be sampled without stripping out their meaning.
- Explicit yeses are separated from rejections and auto-replies.
- Every disputed result has a clear next question for the segment or offer.
- Sales received the reply, contact and context of the first touch.

## When will cold outreach conversion fail to show sales potential?

Outreach is not the right tool when the offer has no specific buyer, economic case or credible reason to start a conversation. Reply Rate cannot compensate for an unclear product. Be particularly careful where a solution is bought only once in several years, the recipient cannot influence the choice, or one offer is written for industries with very different needs.

A positive reply is not a sale. A decision-maker may request materials out of courtesy, compare suppliers or postpone the conversation. The more honest conclusion is that the market allowed a dialogue and your commercial team has someone to qualify. To test the hypothesis before scaling, use an [ICP test](/en/cases/test-b2b-icp/).

> Do not compare Reply Rates across different markets, channels and offers as if they were a league table. First make sure the audience, touchpoint goal and definition of a positive reply are the same.

## What should an acceptance-ready outreach report include?

A useful report answers a leader’s questions: how many companies were contacted, how many addresses accepted the email, who replied, what they said and which dialogues moved forward. OT9 runs email, Telegram and LinkedIn outreach across Russia and the CIS, where decision-makers often read their own email and Telegram is a working business channel. Across our work, 3,224,000 emails have been sent, 811,200 companies have received a touch, and 97.7% of addresses accepted the email.

Before launch, define what counts as a target reply for your task: a request for a calculation, details, a proposal or a meeting. We then prepare and check the list, formulate the offer, control touch quality and hand over substantive replies. If you need an independent review of current numbers first, request a [free cold outreach audit](/en/free-audit/).

We handle campaign preparation and operation; your team retains the commercial decision and follows up with interested contacts promptly. See the full scope in [full-service B2B outreach](/en/services/full-service-outreach/).

## Frequently asked questions

**What Open Rate is considered good?**

There is no universal benchmark. Open tracking differs by email client and audiences differ, so use Open Rate to compare similar sends internally. Accept a campaign based on delivery, reply content and explicit yeses.

**What Reply Rate should I expect from cold outreach?**

No single figure applies to every B2B market. List accuracy, recipient role, business reason, market conditions and sales follow-up all affect replies. A headline average without a reply breakdown tells you little.

**Should auto-replies and rejections count in Reply Rate?**

Record them in the technical log, but do not mix them with substantive replies. Separate classification shows whether you have interest, incorrect contacts or formal notifications. This makes the report actionable.

**Why are emails delivered but replies are low?**

Delivery confirms a route to the inbox, not a match between the offer and the recipient’s task. Review role relevance, the business reason for the message and whether the recipient can quickly understand why replying is worthwhile.

**Can I assess an outreach provider only by meetings booked?**

No. A meeting also depends on what the sales team does after the first reply. Review the whole chain: accepted emails, company replies, explicit yeses, handover quality and subsequent lead handling.
