# Why Emails Go to Spam and How to Fix It

Emails go to spam when the receiving provider does not trust the sender, the sending setup, or the way recipients react to the message. The fix is not a single subject-line or DNS change: check delivery, inbox placement, sender authentication, list quality and message relevance separately, then correct the cause you find.

## Is it a delivery problem or a spam-folder problem?

Start by separating two different failures. A bounced email means the address or delivery route failed. An accepted email that lands in Spam was delivered, but the provider classified it as unwanted. Treating these as one issue leads to wasted work: you may rewrite copy when the problem is outdated contacts, or investigate the list when recipients object to the reason for contact.

“Sent” status does not prove inbox placement. Review bounces, accepted emails and placement at mailbox providers as separate indicators. This matters particularly in Russia and the CIS, where Yandex 360 and Mail.ru are major business inbox environments and decision-makers often read their own email.

## Why does a mailbox provider stop trusting a sender?

A mailbox filter evaluates a set of signals, not one email: whether the domain is authorised to send, whether sender details are consistent, whether the traffic resembles legitimate business correspondence, and how recipients reacted previously. When those signals conflict, trust falls. A polished email can still inherit a negative record from earlier activity.

SPF, DKIM and DMARC confirm that an email is allowed to be sent for a domain. - Confirm that authentication passes and that the sender address aligns with the domain.
- Review bounce, complaint and reply history for each sending source separately.
- Do not apply conclusions from one recipient segment to the entire campaign.
- Record the baseline before making changes, so you can distinguish improvement from normal variation.

## How can a list send a good email to spam?

A poor list creates two risks at once. Outdated addresses produce bounces, while poorly matched people ignore the email or mark it as unwanted. For example, a supplier may offer a procurement-related service to a general administration inbox. The message may be accurate, but the recipient sees no connection to their work and deletes it; that behaviour is a signal to mailbox filters as well.

## What messages do recipients send to spam themselves?

Filters take account of human behaviour. If the first email immediately asks for a call, attaches a heavy proposal and does not explain why the recipient was selected, deleting it is easier than assessing it. “We can increase your sales and show you a presentation” gives neither a concrete subject nor a reason for contact. A stronger approach names an observable business context and asks a short question that can be answered without a meeting.

Adding a name does not make one generic text personal. A production leader receiving a hiring offer, or a commercial director receiving an equipment-maintenance offer, will recognise mass outreach despite accurate company details. A provider explains missing replies as a weak subject line and changes only the headline. Results do not change. The real issue may be that companies were grouped by industry even though they have different sales models and different reasons to buy. Fix the segment logic instead: who receives the email, what observable reason supports the contact, and which role should assess the offer.

## When will deliverability work not solve the problem?

Deliverability work cannot create demand for an offer with no clear value. It also cannot fix outreach aimed at an overly broad market, an email with no credible reason for contact, or a sales team that cannot respond promptly to inbound interest. If the market needs substantial education but the first email pushes for a meeting, the mismatch is between the channel and the task, not the Spam folder.

A new domain does not remove the cause if the same outdated contacts, irrelevant messages or authentication failures remain. It can be one part of a solution, but first identify what damaged the trust signal.

**How do I know whether the problem is deliverability?**
