Who to contact when several people influence the purchase

At smaller companies, the owner often decides on a website, paid acquisition or social media work. They weigh cost against the risk of a delayed launch and want evidence that the agency understands the business. At companies with an established marketing function, the first conversation is usually with the marketing director or head of marketing; IT may review the technical side, while a commercial director may approve the budget.

We do not treat “CEO” as a universal answer. For a corporate website redesign, the first contact is usually accountable for marketing outcomes. For a CRM-connected website, marketing and sales matter alongside IT. For ongoing social media work, start with the marketing lead or owner. This role mapping begins during lead list building.

Signals that give you a legitimate reason to write

An agency prospect list should not be every company that has a website. A branch network may show newly added cities on its site and business listings. A manufacturer may launch a product line or update its catalogue. A developer may announce a new project. A B2B service may be hiring in marketing and sales. These signals do not prove an imminent purchase, but they support a specific, credible hypothesis.

  1. Identify companies through sector directories, event participant lists, business listings, vacancies and company news.
  2. Exclude active agencies, freelance teams and companies without a relevant business signal when the offer is for end clients.
  3. Review the public-facing customer journey: product pages, branch networks, catalogues, request forms, portals and visible gaps.
  4. Find working corporate contacts and relevant roles; unsuitable addresses are excluded from the first wave.

“We noticed that you are growing” gives the recipient nothing to respond to. A more useful opening might be: “Your dealer page lists three new regions, but partner enquiries go to a general form. We can share how agencies usually separate those enquiries before paid traffic is added.” The recipient can agree, disagree or add context—which starts a real conversation.

Addresses are checked through email list verification before outreach. Across our campaigns, 97.7% of addresses accepted the email; that reflects our overall process, not a promise for every new list.

What offer starts a conversation about digital services

A strong web-studio offer is not “we build modern websites.” It identifies an observable issue and proposes a low-effort next step: a review of the enquiry path, a map of catalogue friction, or a landing-page hypothesis for one business line. For a performance agency, the useful conversation is about the connection between traffic source and conversion form—not a claim to “increase sales.”

Weak: “We are a full-service digital agency offering websites, SEO and advertising. Let’s schedule a call.” The recipient sees a familiar service list and no reason to reply now. Stronger: “You have a separate corporate-client page, but the form does not ask for purchase volume. We prepared two routing options for the sales team. Should we send them over?” Saying yes is easier than committing to a meeting.

The offer should not disguise free project work. A short review demonstrates how you think and opens qualification; the full scope, estimate and expected outcome belong after the recipient responds.

  • Suitable: a focused review of one funnel stage or specific page.
  • Suitable: a hypothesis tied to a new region, product or channel.
  • Unsuitable: an audit of all marketing without source information.
  • Unsuitable: a discount as the only reason for first contact.

The wording and sequence logic can be developed through cold email sequence copywriting, but the selected segment’s response—not a template—decides whether the offer is working.

Why “we already have an agency” does not end the conversation

This is a normal market response. Do not argue with the current provider or suggest replacing them blindly. Clarify the boundary instead: “Understood. Does one team handle both the website and lead acquisition, or are those separate? If there is a distinct task in the corporate segment, we can send an example structure without proposing a supplier change.” This moves the discussion from loyalty to an unaddressed part of the work.

When someone asks for a proposal, do not send a generic PDF listing every service. First ask what product needs promotion and what the sales team counts as a result. Without that context, the proposal becomes an archived attachment. With it, you can prepare a meaningful next step and route the exchange through reply handling and lead qualification.

“No budget” should be recorded separately from “not interested.” The company may have a genuine task at the wrong time; any later follow-up needs a new relevant reason, not the same email again.

When to expect early learning and what counts as a signal

First come the prospect selection, contact checks, segment and copy approval. Then a focused first wave goes live rather than the whole list at once. Its job is to show whether the decision-maker recognises the problem and is willing to discuss a next step. “Send more detail,” a pricing question or a request to return at a particular time are all useful signals, even before a meeting is booked.

We do not promise a fixed number of deals to a digital agency: project value, approval cycles and the strength of its proof vary widely. If you need email, Telegram and LinkedIn to work together, the order of contact depends on decision-maker availability and the nature of the service. In Russia and the CIS, Telegram is often a working business channel, while decision-makers commonly read their own email. When outreach is not the right fit for a digital agency

Do not launch a campaign if the agency cannot name its priority service, typical project shape and the client it can genuinely help. Outreach will not fix a studio trying to sell websites, branding, advertising, app development and “everything digital” without a clear priority.

The approach is also weak when the sale depends on an immediate decision and the buyer has no visible business reason to discuss change. It is not a fit for teams that cannot act on replies quickly: a decision-maker asks for an example and receives a generic presentation days later. In those cases, improve the sales process first or request a free outreach audit.

Can we contact companies that already have a good website?

Yes, if the reason relates to a distinct business task rather than design for its own sake: a new business line, region, catalogue, enquiry funnel or integration. Proposing a redesign without an observable reason usually reads as mass outreach.

Who should we contact first: the owner or the marketing lead?

For smaller businesses, begin with the owner more often than not. At companies with a marketing function, start with the marketing director or relevant lead, and involve the owner when the issue requires budget approval or a strategic choice.

Does outreach work for an agency that only provides social media services?

It can, when the service is tied to a business situation such as a product launch, a growing location network, franchisee communications or recruitment. “We manage social media end to end” is too broad for a cold first message.

Should we ask for a meeting immediately?

Not necessarily. For an expensive or complex digital service, it is often more productive to offer a short, specific piece of material or ask a question about the company’s situation first. A meeting makes sense once the recipient has confirmed interest in the task.

Can email be combined with Telegram?

Yes, when the decision-maker’s Telegram account has been found lawfully and the message continues a clear context instead of duplicating the email. The channel should support a relevant conversation, not create repeated unsolicited contact.
