What the service includes
- Review the current setup. We examine your CRM, pipeline stages, ownership rules and the team handling inbound replies. We define where each reply type should go.
- Map fields and statuses. We agree the data passed with every lead: company, tax identifier where applicable, decision-maker contact, channel, campaign, conversation history and qualification outcome.
- Connect the systems. We configure transfer through an API or webhooks for amoCRM, Bitrix24 and other systems with an open interface. If you do not use a CRM, we can provide structured tracking in a spreadsheet or our workspace.
- Build the funnel dashboard. The dashboard shows messages sent, accepted, replies, qualified leads and meetings handed over, updated daily.
- Control handoff gaps. Every reply receives a status during the working day, and every lead has an owner. An unassigned reply is an exception to resolve, not normal operating practice.
CRM integration can be part of full-service outreach, or run separately when you manage sending internally but need reliable lead handoff.
What reaches the CRM
The handoff unit is not simply an email or message. It is a qualified lead: an explicit yes, meaning a request for details, a proposal or a meeting, as defined in our lead guarantees. Declines, auto-replies and follow-up questions are recorded too, under separate statuses, so the funnel stays honest.
Each CRM record can include:
- Company and tax identifier where applicable, for deduplication against your customer base.
- Decision-maker contact details: name, role, email address or messenger source.
- Channel and campaign context: email, Telegram or LinkedIn, plus campaign stage.
- The conversation history, so the sales manager sees what was discussed and promised.
- Qualification outcome: budget, timing, the contact’s authority and the agreed next step.
What the funnel dashboard shows
Our reporting is a working dashboard, not a month-end slide deck. For each campaign, you see messages sent, addresses that accepted them, companies that replied, qualified leads and meetings passed to your team.
Across our campaigns, 5.93% of companies contacted reply and 97.7% of addresses accept a message. If a campaign performs materially below those reference points, the dashboard makes it visible early enough to adjust the approach.
What we need from you
A standard CRM with an open API can usually be connected within several business days. More time may be needed when pipeline structure must be rebuilt or the system is custom-built.
- CRM access that allows creation of deals and fields, in a test or production environment.
- Your pipeline and status names as your sales team uses them.
- The manager or team responsible for assigned leads.
- Your response-time rule: how quickly a manager should take a lead into work.
- If there is no CRM, a decision on whether leads should be tracked in a spreadsheet or our workspace.
We handle reply processing and qualification before handoff. Your team receives leads with the context needed to take the next commercial step.
How we measure the result
The result is not a count of contacts pushed between systems. It is a complete funnel: every reply accounted for, every qualified lead handed over with context, and every meeting visible in reporting.
Our campaigns have generated 6,500 explicit yeses, all tracked through the handoff process. We reconcile the dashboard against CRM statuses regularly and investigate any discrepancy promptly.
When CRM integration is not for you
- No team is ready to work the leads. A CRM record without an accountable manager is only a more orderly way to lose a reply.
- The CRM is not used in practice. If nobody works from it, routing leads there will not solve a discipline problem.
- You need a one-off export, not an ongoing process. For a single campaign, a structured lead file may be more practical than an integration.
- Your custom system has no API. A connection may still be possible, but timing and cost need to be assessed after reviewing the system.
Pricing
Pricing depends on your CRM, the channels and campaigns being connected, and whether pipelines or statuses need restructuring. A standard amoCRM or Bitrix24 connection is the baseline; custom systems require an individual scope.
See package guidance on our pricing page. We confirm the exact scope after a short review of your CRM and reply flow.
