Why cold email should not use your main domain
Your main domain carries client correspondence, contracts, invoices, CRM notifications and other business-critical email. Cold outreach can generate spam complaints even when it is carefully targeted, and mailbox providers assess reputation at domain level.
That is why outreach should run from a separate sending domain: recognisably connected to your brand, but technically independent from your corporate mail. If its reputation declines, the risk stays contained and your operating email remains unaffected.
Russia and the CIS require particular care: local business recipients often use Yandex 360 and Mail.ru, and many decision-makers read their own email. Reaching those inboxes consistently starts with sound infrastructure, not a larger send volume.
What domain warm-up includes
- Select and register appropriate sending domains, checking that they do not carry an unsuitable prior history.
- Configure domain authentication and mail routing so providers can verify legitimate sending.
- Create branded mailboxes with consistent sender identities and signatures.
- Build mailbox and domain reputation gradually through monitored sending activity.
- Check inbox placement, bounce signals and reputation indicators across relevant providers.
- Hand over a clear readiness status for each sending mailbox before campaign launch.
We keep the operational details of infrastructure management in-house. You receive the outcome: a prepared sending base, its current status and a practical recommendation for launching outreach.
How we judge readiness
Warm-up is not complete simply because time has passed. A sending setup is ready when authentication is working correctly, test messages reach inboxes reliably, the domain has no material reputation issues and bounce behaviour remains under control.
Across our work, 3,224,000 emails have been sent to 811,200 companies. 48,100 companies replied, representing a 5.93% reply rate among companies contacted, and 6,500 gave an explicit positive response such as requesting details, a proposal or a meeting.
Infrastructure is only one part of that result. A valid lead list and restrained, relevant copy are equally necessary; neither can compensate for the other.
What we need from you
If the domains are registered in your name, we need registrar access. We also need your logo, preferred sender signatures and one person who can approve practical decisions. We recommend ownership stays with you, so the infrastructure and its accumulated reputation remain your asset.
The scope depends on your intended outreach volume and channel mix. We calculate the required setup after a short brief; see pricing for the commercial framework.
When standalone domain warm-up is not the right service
It is not the best fit for a single small outreach wave with no plan to continue. Preparing dedicated infrastructure makes sense when email will be a repeatable sales channel, rather than a one-off action.
It also cannot support a campaign that must start immediately. Reputation needs to be built over time, and forcing that process creates the same deliverability risk the service is meant to prevent.
If your lead data has not been checked, start there. Invalid or unsuitable contacts can damage a fresh sending setup before the campaign has a chance to produce useful conversations; our lead list building service can be scoped alongside outreach preparation.
